Project Overview

Heathrow Airport Limited (HAL) identified the need to improve workstation ergonomics and flexibility for its employees within APOC. Many existing fixed-height desks did not adequately support diverse user needs, contributing to discomfort and reduced productivity. To address this, HAL initiated a project to modify existing workstations and install height-adjustable desks across selected areas.

Objectives

The primary objectives of the project were to:

  • Improve employee comfort and ergonomic support
  • Accommodate a wider range of user heights and working preferences
  • Support both seated and standing work postures
  • Minimize disruption to daily operations during installation

Scope of Works

The project involved both the modification of existing furniture and the installation of new height-adjustable desks. Key activities included:

  • Assessment of current workstations and space constraints
  • Identification of desks suitable for modification versus full replacement
  • Retrofitting selected desks with height-adjustable mechanisms
  • Installing new electric height-adjustable desks where modification was not feasible
  • Ensuring compliance with ergonomic and safety standards

Implementation Process

  1. Assessment and Planning
    Each workspace was evaluated to determine user requirements, available space, and power access. Employee feedback was gathered to understand individual needs and preferred working styles.
  2. Desk Modification
    Where possible, existing desks were modified by replacing fixed legs with powered adjustable actuators. This approach reduced costs and waste while maintaining visual consistency within the office.
  3. Installation of New Desks
    In areas where modification was impractical, new height-adjustable desks were installed. These desks included programmable controls to allow users to easily switch between sitting and standing positions.
  4. Testing and Adjustment
    After installation, desks were tested for stability, range of motion, and ease of use.
  5. User Orientation
    Employees received basic guidance on proper ergonomic setup, desk operation, and safe usage of height-adjustable features.

Results

Challenges and Solutions

  • Limited downtime: Installations were scheduled during scheduled decants throughout 2024 – 2025 to minimize disruption.
  • Varying user needs: Adjustable controls and ergonomic accessories were introduced to accommodate different body types and preferences.
  • Space constraints: Desk layouts were adjusted to maintain clear walkways and comply with safety requirements.

The project resulted in:

The modification and installation of height-adjustable desks successfully met Heathrow’s ergonomic and operational goals.
